How to Create and Configure Inspection Lists in Softbase

Overview

Softbase allows administrators to create and configure inspection lists for technicians to complete using Softbase Mobile.

There are two inspection setup options available, depending on which version of Softbase Mobile your organization uses:

  • Softbase Service Mobile App: Use New Inspection Setup under the Administration tab.

  • Browser-Based Softbase Mobile: Use the traditional Inspection Setup module.

Both options follow the same process for creating and configuring inspection lists. However, each setup option is designed for its corresponding version of Softbase Mobile.


Creating an Inspection List

Follow the steps below to create a new inspection list.

Step 1: Open Inspection Setup

Navigate to the Administration tab in Softbase and select the appropriate inspection setup option for your version of Softbase Mobile.

Step 2: Create an Inspection List

Create a new inspection list and enter a descriptive name that identifies the type of inspection being performed.

For example:

  • Forklift Inspection

  • Preventative Maintenance Inspection

  • Equipment Safety Inspection

Step 3: Add a Section

Create a Section Name within the inspection list.

Sections allow you to organize related inspection questions into categories, making the inspection easier for technicians to navigate.

For example, a forklift inspection might include:

  • General Condition

  • Engine and Fluids

  • Safety Equipment

  • Tires and Brakes

Step 4: Create Inspection Questions

Within the section, begin adding the questions that technicians will complete during the inspection.

Recommended Best Practice: Include a numerical or alphabetical prefix when creating questions to ensure they display in the intended sequence.

For example:

  • 01 - Check engine oil level

  • 02 - Inspect hydraulic hoses

  • 03 - Check tire condition

  • 04 - Test warning lights

  • 05 - Inspect safety equipment

Step 5: Continue Adding Questions

Continue adding questions to the appropriate sections until all required inspection items have been included.

If the inspection requires multiple sections, create additional sections and add the corresponding questions to each.

Step 6: Create Additional Inspection Lists

Once the inspection list is complete, you can create additional inspection lists by repeating the same process.

Each inspection list can contain its own sections and questions based on the type of equipment or inspection being performed.

  • Use New Inspection Setup for the Softbase Service Mobile App.

  • Use the traditional Inspection Setup module for browser-based Softbase Mobile.

  • Both setup options follow the same configuration process.

  • Use descriptive names for inspection lists and sections.

  • Number or alphabetize questions to maintain the desired display order.

  • Organize questions into logical sections to make inspections easier for technicians to complete.
