Softbase Service Mobile App 3.16 Release Notes

Overview


Version 3.16 of the Softbase Service Mobile App for Softbase Evolution introduces a redesigned Home Page, expanded time tracking with Unallocated Time, new menu options for creating Work Orders and finding open orders, equipment request capabilities, and several usability improvements.


New Home Page

The Home Page has been redesigned to give technicians an at-a-glance view of their day from a single screen. It includes three new sections:

Technician Time Clock

  • Clock in and out of Work Orders and travel to/from Work Orders all from one page.
  • Quick links to the Time Card and Time Management pages are available directly from the Home Page.

Dispatched Work Order Summary

  • View a summary of all Work Orders dispatched to you, including status and a breakdown of Service vs. PM Work Orders.
  • Tap any section to navigate directly to the full Dispatch Page.

Recent Activities

  • See a feed of recent activities assigned to you, including Parts Requests, Dispatch requests, and additional instructions.
  • Tap View All to see the complete activity list.


Unallocated Time Tracking

A new Unallocated Time feature allows technicians to track time when they are not actively working on a Work Order, for example, while determining their next assignment.


Note: A new company setting must be enabled to activate Unallocated Time tracking. Contact your administrator to turn this on if you don't have access to Settings -> Administration -> Mobile Service -> Global Settings Tab.  


Clocking into Unallocated Time

  • Technicians can start an Unallocated Time entry while deciding which Work Order to work on next.
  • Billable and Non-Billable time should still ultimately be recorded against a Work Order.

Moving Unallocated Time to a Work Order

  • When clocking into a Work Order (from the Work Order Page or Home Page) and the technician was clocked into Unallocated Time, they will be prompted to move the Unallocated Time to the Work Order
  • The technician remains clocked in without interruption.

Transitioning to Unallocated Time on Clock-Off

  • When clocking off a Work Order, technicians can choose to go directly to Unallocated Time if they don't have a new Work Order to clock into.  

Unallocated Time on the Time Card

  • Unallocated Time entries are now visible on the Technician Time Card.
  • Entries can be moved to an open Work Order from the Mobile App or via the Technician Time Management page in Evolution.

Unallocated Time in Time Management

  • Technicians can view and maintain Unallocated Time entries directly in the Mobile App's Time Management screen.
  • Entries can be assigned to a dispatched Work Order or updated manually with a valid Work Order number.
  • Requires the Technician role to have Add, Edit, and Delete permissions for labor under the Invoice Section in Roles.


New Menu Options

Create a Work Order or Quote

  • Technicians can now create a Work Order or Quote for any customer directly from the app via a new menu option, Create Work Order.
  • Select the equipment to be serviced, attach photos, and record repair details all in the new page.  
  • After creating a Work Order, technicians can immediately clock in or begin travel to it.
  • If the technician was on Unallocated Time, they will be prompted to move that time to the new Work Order.

Search for Open Orders & Request Dispatch

  • Use the new Search for Open Orders menu option to find work across any customer.
  • Select a customer to view all their open Work Orders, then request to be dispatched to a specific order.
  • An activity is created in Evolution to notify users of the request if the Technician Dispatch Request Activity Trigger is setup in Activities page in Evolution.  


Equipment Enhancements

Create Equipment Request

  • If a technician is working on equipment that hasn't been set up for a customer, they can now submit a Create Equipment Request directly from the Equipment Information section of a Work Order on the Mobile App.
    • This can be access by going to the Customer Equipment Selection page by choosing the 3 bar Icon on the Equipment Section on the Work Order page in the Mobile App.  
  • The request captures images, Serial Number, Make, Model, and other relevant details.
  • An activity is created in Evolution to notify office staff that a new equipment record needs to be created if the Equipment Create Request Activity Trigger is setup in Activities page in Evolution

Model-Based Inspection Defaults

  • When performing an inspection on a Work Order, if the equipment's Model has a specific Inspection template associated with it, that inspection will now default automatically on the Mobile App.
    • This can be setup by adding a Model to an Inspection that is setup in Evolution.  Inspections can be setup in Settings -> Administration -> Inspection Setup

Usability Improvements

Auto-Save in Comments

  • Comments on a Work Order are now saved automatically when a technician taps into another field, reducing the risk of losing entered text.
