3.0 Work Order Quote Hold for Parts

Overview


  • This feature allows users to identify whether parts on a Work Order Quote should be held in a staging table until the user decides to add them to an Open Work order.  This is beneficial for users who who may have large or several items for a Work Order that may take a long time to complete and they want to identify that list of parts on the Quote and have for when they want to open the Work Order but yet they may not want to fill all parts to the Work Order at once.  



Softbase Updates and Setup


  1. Company Form
  1. New Checkbox in the Invoicing Tab on the Company Form called;
  1. Quote to Order: Hold Parts from Posting
  1. If this is set to True, the WO Hold Checkbox on the Parts Tab of the Work Order will be defaulted to True when the Work Order is a Quote.  






  1. Invoicing Form Updates and Process Flow
  1. New Checkbox on Parts Tab when you have an Open Work Order Quote
  1. The New Checkbox is called; WO Hold
  2. This new checkbox will only be visible when the Open Work Order is a Quote and on the Parts Tab.  
  3. This will be defaulted to checked if the new Checkbox above on the Company Form is turned on.  
  4. This will indicate that when the Work Order Quote is turned into an Open Work Order that the parts won’t be filled directly to the Work Order, instead the user will have to choose a new option to import the parts onto the Open Work Order.  
  5. The new checkbox will be either turned on or off for all parts on the Work Order.  



  1. New Import Button on Parts Tab when you have an Open Work Order with Parts that were put on WO Hold.   
  1. When the users selects this button, a green arrow pointing right, they will be able to choose the parts they want to fill on the Open Work Order.  
  2. If the part doesn’t have quantity to fill to the Work Order they will be prompted for each part if they would like to backorder the part.  




  1. When selecting the Green Arrow to Import the Parts from the WO Hold the below form, Held Quote to Order Parts will be called to allow the user to choose which parts to fill to the order.  
  1. The user has the option to select All or None to set the all or none of the checkboxes next to the parts they wish to fill to the order.  Otherwise they can manually select the checkboxes.  
  2. When they wish to fill the parts they can choose the Done button.  
  1. At that point a check will be done to see if the part needs to be backordered and if so the user will be presented with the same options they have if they are manually adding a part to a Work Order that needs to be backordered per part that needs to be backordered.  
  1. Once parts have been filled to the Work Order they will be removed from the list that could be filled to the order on subsequent times the user chooses to import the parts.
