1. Setting up a Custom Rental Agreement
Softbase Evolution allows you to set up a custom rental agreement tailored to your business needs. Follow these steps to configure your custom rental agreement.
Step 1: Navigate to the Rental Agreement Setup
Go to Administration → Settings.
Locate and open the Rental Agreement Card.
Step 2: Create a New Agreement
Click Add Rental Agreement.
Enter a name for your agreement to easily identify it later.
Save your new agreement.
Step 3: Upload Your Rental Agreement Form
Upload an image or PDF of the rental agreement form that you want to use.
Ensure the form layout is clear and matches the format you will be printing.
Step 4: Map Information Fields
Use the Agreement Field Mapping Tool to link system data fields to your rental agreement.
Align key information such as customer name, rental terms, equipment details, and pricing to the correct locations on the form.
Step 5: Preview
Click Preview to ensure the information is correctly mapped.
If everything looks correct, the agreement is ready to use. It will now be available for use in rental transactions.
2. Printing a Rental Agreement in Softbase Evolution
Once a rental agreement is set up, follow these steps to print it during a transaction.
Step 1: Create a Rental Sales Document
Open the Rental Sales Document module.
Enter the necessary details for the rental transaction.
Step 2: Select and Print the Rental Agreement
Click the Print dropdown.
Select Print Rental Agreement.
Choose the rental agreement format you want to use. This flexibility allows you to select different agreements based on the specific transaction.
Select the serial numbers of the equipment for which you need the agreement.
Click Print to generate the agreement.
Your custom rental agreement will now be printed with the mapped information.
