TVH Punchout Workflow

Overview

TVH Punchout allows a user to move from Softbase Evolution into the TVH Shop, select parts, and return the selected items to Evolution for processing.


Supported starting points:

  • The Parts tab of a Purchase Order.
  • The Parts tab of a Work Order or other sales document on the Invoicing page.

1. Configure the Branch

  1. Navigate to Settings > Administration > Branch > TVH.
  2. Enter the account credentials and key supplied by TVH.
  3. Select the appropriate TVH country and warehouse.
  4. Enable Allow Punchout.
  5. Confirm with TVH that Punchout has also been enabled for your TVH account.

Important: TVH configuration is branch-specific. Each participating branch must have its own TVH account information and Punchout configuration.

2. Start a Punchout Session

Select the TVH Punchout button from one of the following locations:

  • The Parts tab of a document accessed from the Invoicing page.
  • The Parts tab of a Purchase Order accessed from the Purchase Order page.

Evolution verifies that the selected branch has a TVH account, key, and Punchout enabled. If the required configuration is missing or Punchout is disabled, the user receives a configuration or disabled message.


3. Open the TVH Shop

When the TVH Punchout button is selected, Evolution attempts to open the TVH Shop in a new browser tab.

Evolution connects to TVH using the following information:

  • The selected branch's TVH account information.
  • The current user's email address.
  • The selected branch number.

Note: The browser must allow Evolution to open a new tab. A browser pop-up blocker may prevent the TVH Shop from opening.


4. Select Items in the TVH Shop

The user browses the TVH Shop and selects the required parts.

After the selection is completed, TVH sends the selected item information back to Evolution through the Punchback callback from the TVH Shop page.


5. Create the Parts List

Evolution validates the Punchback callback and creates a named Parts List. The Parts List name identifies the following information:

  • The TVH vendor.
  • The Evolution user who initiated the Punchout session.
  • The date and time the Parts List was created.

The Punchback callback must contain at least one item before Evolution can create the Parts List.


6. Use the Parts List in Evolution the Returned Parts

Navigate to General > Part List to locate and process the returned TVH parts.

Permission required: The user must have permission to access the Part List page. This permission is located under the General folder within the Evolution role permissions.

From the Parts List, the user can add the parts to the following areas of Evolution:

  • Parts Inventory on the Parts page.  (They will see in the Parts List whether the Part exists in Inventory or not already)
  • Sales Document on the Invoicing page.
  • Quote on the Invoicing page.
  • Purchase Order on the Purchase Order page.

Version and Scope

  • TVH Punchout is separate from the traditional TVH Price and Availability function.
  • The traditional function looks up a specific part and quantity and additional information from TVH.  
  • TVH Punchout opens the TVH Shop and returns a group of selected items to Evolution through a Parts List.
