Best Practices for Parts Transfers and Copy Warehouse

In the Parts module, two commonly used programs for managing inventory movement are Transfers and Copy Warehouse. Understanding their use cases and best practices ensures efficient inventory management across multiple locations.


Parts Transfers: When, Why, and How

A Parts Transfer is commonly used when one warehouse has an excess of a part, and another warehouse needs that part to fulfill a sale or replenish stock.

When to Use a Parts Transfer

  • A part is on backorder from the manufacturer, and another warehouse has stock.
  • A specific warehouse needs stock to complete a sales transaction.
  • Moving small quantities of parts between warehouses.

How to Perform a Parts Transfer

  1. Navigate to the Transfers program.
  2. Select the From Warehouse (where the part is being taken from).
  3. Select the To Warehouse (where the part is being sent).
  4. Enter the Part Number and Quantity to be transferred.
  5. Click Transfer to complete the process.

Copy Warehouse: When, Why, and How

The Copy Warehouse program is used to duplicate part records and configurations from one warehouse to another.

When to Use Copy Warehouse

  • Adding a New Service Van: Quickly create part records with zero on-hand quantity and copy min/max values from an existing van.
  • Removing a Van from the Fleet: Transfer on-hand quantities back to a warehouse while retaining sales history.
  • Setting Up a New Physical Warehouse: Copy part records in bulk from an existing warehouse to speed up setup.

How to Perform a Copy Warehouse

  1. Navigate to the Copy Warehouse program.
  2. Select the Source Warehouse (the one you are copying from).
  3. Select the Destination Warehouse (the one receiving the copied data).
  4. Choose one of the following Copy Options:
    • With 0 On Hand Qty: Copies part records with no inventory.
    • Transfer On Hand Qty: Moves existing inventory along with the part records.
  5. Select any additional options:
    • Copy Service Van Min and Max Values
    • Update Pricing for Existing Items
    • Move Demand History to Destination
  6. Click Copy to finalize the process.

Best Practices

  • Use Transfers for Small, Immediate Needs: Parts Transfers are best for small quantity moves to fulfill a specific need.
  • Use Copy Warehouse for Large-Scale Changes: Copy Warehouse is ideal for setting up new warehouses or reorganizing inventory.
  • Maintain Data Accuracy: Always verify part numbers, warehouses, and inventory levels before executing a transfer or copy.
