Overview
The Deposit functionality allows you to record and manage deposits for open orders. This guide outlines the steps to utilize the Deposit feature effectively.
Accessing the Deposit Functionality
- Navigate to the Sales Document header.
- Click on the "Deposit" button to initiate the deposit process.
Deposit Form
Upon clicking the "Deposit" button, a form will appear with the following fields:
- Deposit Amount: Enter the amount of the deposit in this field.
- Payment Type: Choose the appropriate payment method from the dropdown list (Cash, Check, Credit Card).
- Comment: Optionally, provide additional information related to the deposit in this text box (maximum 250 alphanumeric characters).
Form Buttons
The deposit form includes three buttons:
- Add Deposit: Enables after populating the Deposit Amount and Payment Type fields. Click to finalize and add the deposit.
- Reverse Deposit: Appears if a deposit has already been added to the order. Click to reverse the existing deposit.
- Cancel: Close the form without making any changes. This button is selected by default.
Usage Guidelines
- The deposit form is only accessible for open sales document.
- Ensure to populate the Deposit Amount and Payment Type fields before clicking the "Add Deposit" button.
- Once a deposit is added, the form will automatically close.
Deposit Process
Adding a Deposit
- Populate the Deposit Amount and Payment Type fields.
- Click on the "Add Deposit" button.
- The system will:
- Post an entry to the general ledger.
- Create an accounts receivable record linked to the order.
- Close the window.
Reversing a Deposit
If a deposit has been previously added:
- Click on the "Reverse Deposit" button.
- The system will:
- Post an entry to reverse the previous deposit in the general ledger.
- Create a negative accounts receivable record.
- Close the window.
Additional Information
- The system does not support multiple deposits for a single order.
- General Ledger postings will mimic those of an invoice, with the effective date set to the current date and control set to Customer Number.
- If you are using the PayJunction credit card integration with auto posting turned on then by utilizing the correct Sales Document number in the payment process the integration will post that payment back to the invoice.
