Error: Next Document # is Already on File

Overview

This error message appears when the system attempts to generate a new document number, but the next available number is already assigned to an existing document. To resolve this issue, the document number sequence needs to be updated.


Steps to Resolve 

  1. Navigate to Department Settings:

    • Go to Settings > Administration > Department.

    • Select the department where you are trying to open the document towards.

  2. Update the Document Number Sequence:

    • In the department setup, navigate to the Docs # / Dates tab.

    • Locate the field for either Next Invoice # or Next Quote #, depending on the type of document you were trying to create when the error occurred.

  3. Increment the Next Document Number:

    • Increase the Next Invoice # or Next Quote # by 5 to ensure the next generated document number does not conflict with an existing one.

    • Click Save to apply the changes.

  4. Retry Opening the Document:

    • Attempt to open the document again.

    • The system should now generate a documnet number without encountering the error.
