3.0 TrinDocs - Integration

Overview

This article covers how the Trin Doc Integration with Softbase works.

The Trin Docs Integration allows users to use the Trin Docs Application to map AP Invoices that are then import into the Softbase Database.  Once they are imported into the Softbase Database the user can create a Journal in AP Invoice Entry and import the AP Invoices into the Softbase 3.0 Application to maintain and post to the GL. 

Before this information is applicable you would need to have signed up with Trin Docs for the AP Invoice Integration with Softbase and gone through their setup.  

Process Flow

After going through the setup with Trin Docs they should be able to work with you to import an AP Invoice through their Application into the Softbase database and walk you through how to import it into AP Invoice Entry.

1. After Trin Docs has imported the data into the Softbase Database you would go to AP Invoice Entry on the Accounting Menu from the Softbase Main Menu.  
2. Create a new Journal and choose the Add button in AP Invoice Entry.  
3. Once the AP Invoice has been added you can select the Import Trin Docs button from the Toolbar on the AP Invoice Entry.  
4. When the user select the Import Trin Docs button it will look for all records in the TrinDocsHeader Database Table that haven't been attempted to be imported into Softbase.  
5. It will check that the Vendor is Valid and ensure the AP Invoice Number hasn't been used for that AP Vendor.  
   1. If it has it won't import those records and mark them in error in the database and they won't be processed.  
6. If the Vendor and AP Invoice Number is valid it will then add the data to the AP Invoice Entry Window in Softbase based on data passed in from Trin Docs to the TrinDocsHeader and TrinDocsDetail SQLDatabase tables as well as looking up information from the AP Vendor in Softbase.   

Additional Notes

1. The Due Date and Discount Amount of the AP Invoice would be set based on the Invoice Date passed in from Trin Docs and looking at the Due Date and Discount Parameters on the Vendor setup in Softbase that matches what was passed in from Trin Docs.
