Automated AR Statements

Overview

This feature will allow a Dealer to identify and send a notification statement to customers that have past due AR Invoices. While this is similar to a Statement of Account it will differ as it is intended to identify Customers with overdue AR Invoices and provide the details to allow them to provide payment on a recurring automated basis.


Fields

Schedule Period - Timeframe for how often this should be run

Description - This is a required field that titles/describes the scheduled AR Statement job

Minimum AR Balance - This is a required field that is the minimum amount due on the customer's account to be included in sending the statement 

Maximum AR Balance - This is a required field that is the maximum amount due on the customer's account to be included in sending the statement 

Days Overdue - This field is a required field to state how many days over the customer's AR Terms is a minimum of criteria to include the data on the statement

Include Credit and Deposit Invoices - This checkbox signifies if credit invoices or deposits posted to an invoice are included in the data for the statement

Email Subject - Text Field, 200 characters required to save

Email Body - Text Field, 1000 characters and required to save


Permission

Automated AR Statements -Under the Accounting section in the Roles Page to control whether the user can access this page or not


Customer Record

Checkbox on the Terms tab of the Customer Record:  Exclude from Automated AR Statements

Check this box if you do not wish for the specific customer to be included in the Automated AR Statement scheduled job


Note - The customer must have the Statement checkbox set to True in order to be considered for the Automated AR Statements



Running Automated AR Statements

When the an Automated AR Statement record is trigged based on the schedule it is setup to perform the following:

  • Gather all customers not set to be excluded from Automated AR Statements based on the setup on the Customer record
  • Gather all customers from above list who have an AR Balance that is between the Minimum and Maximum AR Balance values on the Automated AR Statement setup record.
  • Gather all customers from the above list who have an AR Invoice where the Current Date is greater than the Due Date plus the Days Overdue from the Automated AR Statement record.
  • For each of the above customers send an email to them using the Invoice and/or the Statement Email Address from the Customer record
  • Send the AR Statement Report from the AR Statement Program as an attachment along with a PDF copy of those invoices
