Best Practice for Billing Overtime Hours for Rentals or Maintenance Contracts

This article provides general guidance on our best practices for setting up and billing overtime hours within your system. It covers creating an miscellaneous sale code, tracking and calculating the hours, and billing out the charge on an invoice. 


Create a Miscellaneous Sale Code

  1. Create a new sale code that will be used when billing the amount for the overtime hours
  2. Settings > Administration> Sale Codes
  3. Create one in each branch and department that would be billing this to a customer
  4. Determine if the revenue from this charge will post to the same revenue account as the contract rate or to a new/separate account

Track and Bill for the Hours

  1. On a Rental document capture the hours in the Prim Meter field on each serial number entry on the rental tab
  2. On a Guaranteed Maintenance document capture the hours in the GM Hour Meter field on each serial number entry on the misc tab
  3. You will want to update this for each billing cycle to track the hours
  4. When the difference between the previous billed document is greater than the hours allowed you will need to add the misc charge to the next document to bill for the overtime hours. 
  5. You can use the description of the misc charge to enter in the quantity being charged for and enter in the total amount in the sell field
