Overview
The Technician Time Management is a feature that allows users to view, edit, delete, or add technician time records within a selected date range that represent the actual time Technicians work. This provides better oversight of labor records created by technicians from the Softbase Service mobile app that may or may not have been auto-posted. The feature allows managers who maintain and review time records to simplify that process. The Print and Export to CSV option also makes it easy to retrieve technician hours for a payroll period to support payroll system entry.
Access and Permissions
The Technician Time Management page is accessed via the button in the General section from the Softbase Evolution Main Menu.
To turn on the feature the Technician Time Management permission will need to be turned on in the General Section for the Role of the logged in User.
Viewing and Maintaining Technician Time
Once you have opened the Technician Time Management page you will be able to use the Date Range options as well as the Branch, Department and Technician Filters to select what labor records you want to have returned in the below data grid. The data is all Labor records that have been added in this page or created by Technicians from the Softbase Service Mobile Application. This would include Labor Records that a Technician has clocked on but not off from the Softbase Service Mobile App.
By default the current day is selected as the Date Rage and it will return all labor for all Branches, Departments and Technicians.
In the data grid you will see the Technician, start date, end date Work Order Number, whether it has been imported or not and the labor type (Regular, Overtime or Premium)
You are able to edit, view or delete the labor records by using the gear next to each labor record.
The Work Order is a hyperlink that allows you to quickly open up the Work Order the labor record is associated with.
When a Labor Record is updated or deleted in this page it will update or delete the associated record from the Work Order. Note that the opposite is not true for example if you edit or delete a labor record from the Work Order it won't delete a record in Technician Time Management as it is assumed you are using the Work Order to identify the labor that is being billed not what was worked by the Technician.
Labor records on Invoiced Work Order will not be able to be maintained.
The permissions to control whether users can edit, delete or add Labor Records in this page are controlled with the Labor permissions under the Invoice Section in the Permissions of the Role of the logged in user.
Adding Technician Time
Labor records can be added for Technicians for Work Orders in the Page by using the Add Button in the top right corner.
This allows users to add labor records and import them automatically to the Work Order to be billed.
Labor records can only be added to open Work Orders and will follow the rounding setup in the Company when adding to the Work Order, the labor in this page will not be rounded.
Printing Technician Time
You can use the print button to create a Technician Time Report that will call a Print Preview window that groups all labor records from the Data Grid by Technician from oldest to newest start date.
The labor hours will be subtotaled for each Technician on the report.
The Export to CSV can be used to export the data to be used if you have options to import data into a Payroll system. If you just need total hours and enter them in a Payroll system you can use the report or the information below the data grid that displays subtotals per Technician.
